Sample workflow
From booking request to carrier booking, without the retyping
The request is read from the email, the details are checked, and the booking is entered in the carrier portal. Your team confirms the choice, and the customer gets the confirmation.
- Works across email, your TMS and carrier portals
- Missing details flagged, never guessed
- Running at Golden Freight
Booking request, Northline Imports
Example with sample data
Toronto to Rotterdam, 1 x 40 HC, ready Oct 21.
HS code missing. Asked for it before booking.
Entered in the carrier portal. BKG-558120.
Confirmation and cut-off dates sent.
Where shipments slow down
Freight and logistics teams spend hours copying bookings, shipment details and documents between carrier portals, email and spreadsheets. We automate that work so your team handles exceptions, not data entry.

Where automation fits in your operation
Four areas where freight and logistics teams lose the most time. Each use case shows how we build it: with AI, with RPA bots, or by connecting your TMS to the portals you use.
Carrier portal bookings
Booking requests are entered into carrier portals such as Maersk by a bot. Running today for Golden Freight.
Request standardisation
Booking requests from email and WhatsApp, in any format, are turned into one clean booking record.
Rate lookups
Rates are pulled from carrier portals and rate sheets, so quotes go out faster.
Booking confirmations
Confirmations are saved to the shipment file and sent to the customer automatically.
Shipping document extraction
Bills of lading, commercial invoices and packing lists are read, and the data is entered into your TMS.
Customs paperwork
Customs forms are prepared from the shipment data, ready for your broker to review.
Proof of delivery capture
PODs are read, matched to the shipment and filed the day they arrive.
Document checks
Missing or inconsistent documents are flagged before they hold up a shipment.
Track and trace
Container status is collected from carrier websites, so no one has to check them one by one.
Delay alerts
Customers hear about ETA changes as soon as they happen.
Customer status questions
“Where is my shipment?” emails get an answer with the latest status, and the rest go to staff.
Milestone updates
Shipment milestones are written back to your TMS and customer portals.
Carrier invoice matching
Carrier invoices are matched to the booking and the agreed rate. Only the differences reach your team.
Invoicing from your TMS
Customer invoices are created when a shipment is delivered.
Freight bill audit
Duplicate charges, wrong accessorials and rate errors are flagged before you pay.
Collections follow-up
Overdue customers get reminders, and replies are sorted for your AR team.
How each workflow runs
Three logistics workflows, from what arrives to what your team sees.
Carrier Booking
- Bookings placed, numbers logged.
Document Intake
- Shipment data entered automatically.
Freight Bill Audit
- Overcharges caught before payment.
Already running for Ontario businesses
Real automations we have built for Ontario businesses. Ask us for a walkthrough of the one closest to your work.
Golden Freight
A UiPath bot books ocean container shipments on the Maersk portal every 30 minutes during office hours, and writes the booking numbers back automatically.
Hamilton Pharmacy
Kroll batch processing is automated across three workstations, including copay and insurance-order handling, with ongoing monitoring and support.
Hitech Group International
An AI vision project that checks packaging print, labels and barcodes against approved artwork, with human review. We scoped it and built the NRC IRAP funding case.

Logistics questions, answered
Have a question that isn’t here? Email info@apexbit.net and we will reply within one business day.
Which carrier portals can you automate?
Any portal your team logs into, including Maersk. If a person can do it on screen, a bot can usually do it too.
Does it work with our TMS?
Yes. We connect through its API where there is one, and use RPA bots on the screens where there isn't.
What if a booking request is incomplete?
The automation flags what is missing and drafts a reply asking for it, so nothing is entered with gaps.
How long does it take to go live?
A single workflow such as carrier booking is usually live in a few weeks, including testing alongside your team.
Can a grant help pay for it?
Often, yes. Ontario and federal programs can cover part of the planning or project cost, depending on your business. Our grants page lists what is open and how we help you apply.
